Return & Refund Policy
Last updated: May 2026. This policy explains how refunds, cancellations, and pilot programs work for CliniLoom subscriptions.
Overview
CliniLoom is a subscription service billed in monthly or annual cycles. We want every clinic to feel that the platform earns its keep. If something isn't working for your team, contact us first — we'll usually solve it without involving a refund.
Monthly subscriptions
Monthly plans can be cancelled at any time from your billing settings or by emailing billing@cliniloom.com. Access continues through the end of the current paid billing period.
New monthly subscriptions are eligible for a pro-rated refund within 14 days of the first charge if your team has completed fewer than 25 reviewed workflow actions. After 14 days, charges for completed billing periods are non-refundable.
Annual subscriptions
Annual plans receive a discount in exchange for a 12-month commitment. You can cancel renewal at any time before the next annual cycle begins.
Within the first 30 days of a new annual subscription, you may request a refund of the unused remainder (pro-rated by month) minus any setup or onboarding services that have been delivered.
Pilot programs
Paid 30-day pilots are eligible for a full refund within the first 14 days if the pilot does not move forward. After day 14, the pilot fee is non-refundable but applied as a credit toward your first paid subscription if you continue.
Cancellation
You can cancel from Billing settings or by emailing billing@cliniloom.com. On cancellation, your data remains accessible for export for 30 days. After that, data is permanently deleted from production systems per our data processing policy.
Disputes
Before filing a chargeback with your card issuer, please reach out to billing — most issues are resolved within one business day. Chargebacks filed without prior contact may result in account suspension while the dispute is reviewed.
